Overview

We believe that people are successful when they are given the tools to succeed and the Facilities Coordinator will play a significant role towards that end. You will often be the first point of contact between the company and our people. The Facilities coordinator will make it their objective to keep the offices supplied and the building clean, comfortable and functioning to the best of their ability. The Facilities Coordinator will be part of a team but also expected to work independently towards a common goal, the success of the company and the growth of the individual.

 

Stamps.com is the leading provider of Internet-based mailing and shipping solutions. Stamps.com’s PC Postage service enables small businesses, shippers, enterprises and consumers to print U.S. Postal Service-approved postage right from their home or office with just a PC, printer and Internet connection. The Company currently has PC Postage partnerships with Avery Dennison, Microsoft, HP, the U.S. Postal Service and others. Stamps.com also sells PhotoStamps which enables customers to create fully customizable and valid PhotoStamps postage that contains their own digital photograph or business.

Responsibilities

  • Office maintenance (supplies, consumables, safety, cleanliness)
    • Track inventory and stock office supplies and break room consumables on a daily basis.
    • Maintain and take inventory of supplies; and place orders through online portals (Costco, Staples, Amazon, etc.) and over the phone.
    • In conjunction with the janitorial crew, occasionally perform janitorial duties to ensure the office and kitchens are clean and safe (example: clean up spills, remove stains, fix drain stoppages and sanitize toilets and urinals)
    • Assist with seat mapping and preparing offices/cubicles for new hires.
    • Assist with cleaning office/cubicles after employee departure and reclaim/recycle useable office supplies in good condition.
  • Vendor and contractor liaison
    • Act as a primary contact and liaison between contractors, vendors, and the company. This will include scheduling preventative maintenance, repairs, overseeing the work done and maintaining a good working relationship with all parties involved.
    • Overseeing and following up on work to be done correctly and in a timely manner.
    • Source new vendors, bid a project, and present it to the team for feedback and development.
    • Identify opportunities for maximization of the budget and opportunities for improvements to the facilities.
  • Function as on-site handyman (light plumbing, carpentry, HVAC, electrical etc.)
    • Utilize basic skills in plumbing, carpentry, electrical and HVAC to troubleshoot issues, and research and attempt practical repair-or-replace procedures.
    • Perform electrical services including but not limited to replacing bulbs, ballast, and testing outlets and switches.
    • Use manual and electric tools to drill and patch holes, install hardware, and perform repairs.
    • Assemble or fix hardware such as furniture
  • Client service and facilities-to-employee liaison
    • Act as the primary point of contact between co-workers and the company. Strong interpersonal skills are required.
  • Reception desk coverage and back-up
    • Work the front desk and perform duties including but not limited to greeting guest, answering and routing calls, receiving deliveries, and sorting mail.
  • Documentation and record keeping regarding facilities related projects; maintain comprehensive written records and document projects from inception to completion.
  • Special events and project assistance
    • Assisting other departments in special events or projects requiring facilities involvement as assigned.
  • Other duties as assigned

 

Qualifications

Preferred Education and/or Experience:                                                             

  • Minimum of 2 years’ experience in a related function such as office coordinator, building handyman, etc.

Skills and Knowledge:

  • Client Service:
    • Excellent, clear, and respectful verbal and written communication skills (including proper English grammar and spelling)
    • Friendly and helpful service-oriented demeanor
    • Sense of urgency and ability to prioritize tasks
    • Presents a professional demeanor in person, via written communication, and via phone.
    • Excellent follow-up and follow-through with client requests
  • Handyman:
    • Basic proficiency in plumbing, carpentry, electrical and HVAC
    • Excellent resourcefulness and troubleshooting skills
    • Ability to lift up to 50 pounds
  • Special Physical Requirements
    • Lift up to 50 lbs without assistance up to chest height
    • Climb ladders up to 30 ft
    • Drive for business purpose
    • Squatting on occasion
  • Attendance
    • Must be able to be on site on time every day.
    • Work schedule requires 8-9 consecutive hours worked on average
    • Able to work occasional overtime and weekend hours
  • Able to manage multiple priorities and toggle from one task to another with ease

 Computer/Software/Application Proficiency:                                                   

  • Must have basic understanding and proficiency with the Microsoft suite of office tools including Outlook, Excel, Word and Visio.

Travel Requirements:

  • Less than 10%
