Overview

Stamps.com Inc is currently seeking an experienced Payroll Analyst to join our Payroll team.  The Payroll Analyst is responsible for managing the full-cycle payroll and associated tasks for multiple entities with little supervision. The role reports to the Manager, Payroll & Benefits.

Responsibilities

Primary Objectives:  

  1. Manage Full-Cycle payroll processing for multiple entities.
  2. Research and analyze discrepancies and implements appropriate corrective actions.
  3. Apply technical payroll system knowledge.
  4. Assist with the development and communication of procedures, processes, and guidelines.
  5. Troubleshoot payroll issues or problems.
  6. Serve as a liaison to vendors, auditors, and local and federal agencies.
  7. Assist with ongoing and seasonal projects.

Essential Position Duties (typical monthly, weekly, daily tasks): Perform of a variety of accounting functions in preparation, distribution, and reporting of payroll, ensuring compliance with all applicable regulations.

 

Payroll Validation and Processing:

  1. Manage Full-Cycle payroll processing for multiple entities for all types of payrolls and forms of compensation.
    • HourlyTimecard Management:
      • Process all Hourly/Non-exempt Timesheet edits/corrections/approvals each pay period
        • Gather OT approvals when required
      • Assist CS supervisors and employees with edits/corrections/approvals each pay period
    • SalaryTimecard Management.
      • Assist salaried employees with the use of the ADP Workforce Now system each pay period.
    • Ensure Employee Maintenance for New Hires, Terminations, Employee Changes, and other changes are processed accurately across several platforms including ADP WorkForceNow, 401(k), ESPP/Option, etc.
    • Coordinate with and provide back up for the Sr. Payroll Analyst and Manager, Payroll & Benefits.
    • Utilize automated time and attendance software and programs in day-to-day operations specifically using ADP Workforce Now managing multiple companies.
      • Maintain updated database and time entry.
      • Open and close pay periods.
      • Perform semi-monthly reconciliation.
      • Import and export data as it relates to the payroll process.
  2. Research and analyzes discrepancies and implement appropriate corrective actions concerning payments, wages, taxes, general ledger and deductions and/or other related payroll items.
    • Process wage and salary payments, audit time entries, and schedule garnishment payments.
    • Calculate and process special checks, file unemployment forms, and process new hire paperwork
    • Handle general inquiries regarding payroll, benefits (401k, ESPP, Options), and time/attendance.
    • Adhere to all internal control processes and ensure payroll is SOX compliant.
    • Generate standard reports for management including month-end reporting, journal entries, and other reports as requested.

Process Improvement and Development:

  1. Apply technical payroll system knowledge in set-up, utilization, and support of all payroll-related systems, as well as developing standard and ad-hoc reports.
  2. Assist with the development and communication of procedures, processes, and guidelines focused on quality and efficiency and make recommendations for improvements and standardization.
  3. Troubleshoot complex payroll system issues and provide errors resolution to the Payroll team.
    • Create and execute test plans that ensure programs meet systems requirements and test results are properly documented and retained according to Internal Audit guidelines and policies.
  4. Serve as a liaison to vendors, auditors, and local and federal agencies.
    • Work with vendors to improve processes within software (ezLabor issues or questions and concerns from all levels of staff).
  5. Assist with ongoing and seasonal projects.
    • Annual 401k Audit
    • Annual Performance Review Process/Reports/Updates.
    • Ad-hoc projects.

Qualifications

Education and/or Experience:                                                                  

  • Bachelor’s degree or equivalent work experience.
  • Minimum of Four (4) years’ of experience with full-cycle payroll processing.
  • Current experience with and in-depth knowledge of ADP Workforce Now (HR Essentials, Time & Attendance (ezLabor) and Pay Expert) v12.0 and ADP Reporting required. 

Preferred Qualifications:

  • Experience using online systems such as Charles Schwab, Vanguard, and NetSuite.
  • Experience administering a corporate 401(k) plan and/or Equity Compensation.
  • Member of American Payroll Association.

Skills and Knowledge:

  • Knowledgeable with SOX and 404 Compliance.
  • Detail-oriented and possess strong quantitative and analytical skills.
  • Ability to think creatively, effectively manages time, prioritize work, and handle multiple assignments simultaneously.
  • Superior proactive customer service with management and employees regarding payroll/timekeeping. questions and associated transactions.
  • Excellent verbal and written communication skills. 

Computer/Software/Application Proficiency:                                                   

  • Advanced Excel skills required.
  • ADP Workforce Now (HR Essentials, Time & Attendance (ezLabor) and Pay Expert) v12.0 and ADP Reporting required.
